B-004. Database Reactivation

This module helps you reactivate dormant contacts in your database by sending automated text messages and emails. It includes features for split testing different messages and sending times, controlling the flow of messages to avoid overwhelming your system, and organizing responses to prioritize follow-up actions.

 

How It Works: Surface Level

When the automation fires:

  • Contacts are assigned to different message groups for split testing purposes.
  • Text messages and emails are sent at controlled intervals throughout the day.
  • Responses are categorized based on intent (positive, negative, questions), and contacts are moved through pipeline stages accordingly.
  • Automatic follow-up offers can be sent based on positive responses.

Setup and Split Testing:

  • Entry Point: Begin with the split tester workflow.
  • Action: Assigns a custom field to each contact for split testing.
  • Control Traffic: Manages message flow to avoid overwhelming the system.

SMS Workflow (DR SMS Outreach):

  • Trigger: Activated by split tester or directly.
  • Actions: Sends text messages at controlled intervals, updating pipeline stages based on responses.

Email Workflow (DR Email Outreach):

  • Trigger: Activated by split tester or directly.
  • Actions: Sends emails at controlled intervals, updating pipeline stages based on responses.

Response Handling:

  • Trigger: Activated by receiving a response.
  • Actions: Categorizes responses and updates pipeline stages accordingly.

Automatic Offer Sending:

  • Trigger: Activated by the "Auto Offer" tag.
  • Actions: Sends follow-up messages with specific links, updating pipeline stages based on interactions.

Tag Routing Workflow:

  • Purpose: Manages tags and integrates with other modules.
  • Actions: Aggregates tags and updates pipeline stages based on interactions.

How It Works: Deep & Technical Level

Setup and Split Testing

  • Entry Point: Begin with the split tester workflow.
  • Action: Assign a custom field to each contact for split testing copy and sending times.
  • Control Traffic: Manage the flow of messages to avoid sending all at once and overwhelming the system.

 

SMS Workflow (DR SMS Outreach)

  • Trigger: Activated after the split tester assigns fields or directly by adding contacts.
  • Actions:
    • Sends text messages to contacts, distributing them into five different buckets based on the time of day.
    • Controls sending times (e.g., 8:15, 11:00, 12:30, etc.) to manage message flow.
    • Uses custom values for message content, allowing easy updates through the onboarding engine or custom value fields.
  • Handling Content Gaps: If content is missing for certain messages, add a wait step to pause the workflow until more content is available.

 

Email Workflow (DR Email Outreach)

  • Trigger: Activated similarly to the SMS workflow, either through the split tester or directly.
  • Actions:
    • Sends emails to contacts, with similar timing controls as the SMS workflow.
    • Uses custom values for email content, ensuring consistency and easy updates.
  • Integration with Split Tester: Add the email workflow to the split tester for automatic inclusion in the reactivation process.

 

Response Handling

  • Trigger: Activated when a response is received from either an SMS or email.
  • Actions:
    • Categorizes responses into positive, negative, questions, and unknown.
    • Moves contacts to appropriate pipeline stages based on response type (e.g., Priority 1 for positive responses).
    • Updates the opportunity stages to reflect the new status of the contact.

 

Automatic Offer Sending

  • Trigger: Activated by adding the "Auto Offer" tag to a contact.
  • Actions:
    • Sends an automated follow-up message with a specific link (appointment, landing page, offer).
    • Uses a trigger link connected to a custom value, making it easy to update the target link.
  • Integration with Tag Routing Workflow: Automates the addition of the "Auto Offer" tag based on positive responses, ensuring timely follow-up without manual intervention.

 

Tag Routing Workflow

  • Purpose: Centralizes the management of tags used within the B004 module.
  • Actions:
    • Aggregates all relevant tags and manages contacts based on their interactions.
    • Connects with other modules and updates pipeline stages as needed.
    • Ensures smooth integration and management of contacts across different workflows.
