How to Load a Snapshot for Conversation AI

Snapshot functionality for Conversation AI enables you to effortlessly replicate your Conversation AI configurations across subaccounts. This feature streamlines the process of scaling and managing Conversation AI setups with greater efficiency. Furthermore, it allows for the seamless duplication of fully configured Conversation AI bots across subaccounts, simplifying bot management, reducing setup time, and ensuring consistent performance across all instances. Follow along as we will cover the steps needed to effectively complete loading a snapshot that includes a conversation AI setup.

Create a Snapshot

To begin, navigate to the Agency View and locate the Account Snapshots section in the left sidebar. If you do not have an existing snapshot, you will need to create one by clicking the Create New Snapshot button.

Enter a Name for your snapshot and choose the Sub-Account from which you want to extract the necessary Conversation AI configurations. Click "Next" to proceed. 

Select the Conversation AI components you wish to include in the snapshot, such as bot training URLs, FAQs, and configured bots, then complete the snapshot setup. 

Search for or Create a Sub-Account

Next, head to the Snapshots section and utilize the search function to locate an existing sub-account. If the sub-account does not exist, create a new one.

Once you have identified the correct Sub-Account, click the three-dots next to it, and in the popup, select Manage Client.

Load Snapshot

Select the Load Snapshot option from the Actions dropdown menu.

A popup window will appear prompting you to choose the snapshot that contains the Conversation AI configurations you want to apply. Locate the snapshot in the list by scrolling or utilizing the search functionality.

To include all necessary assets, "Select All" in the Conversation AI section. Then, click "Proceed" and follow the prompts to complete the process.

A notification will appear in the top-right corner, accessible through the bell icon, once the snapshot upload has been completed.

Review and Use the Templates

Navigate to Settings > Conversation AI in the sub-account. Review the imported configurations to confirm that all settings are correctly applied and functioning as expected.

By following the outlined steps, you can quickly replicate and deploy preconfigured Conversation AI bots, ensuring consistent performance across all locations.

✍️Important Notes

If any components fail to transfer, users will receive clear messages to reconfigure settings.

  • Bot Name Conflicts – If the target subaccount contains a bot with a conflicting name, users will be required to manually resolve the conflict.
  • Missing Calendars – The system will prompt users to reconfigure settings for appointment booking if any calendars are missing.
  • Primary Bot Exists – If a primary bot is already active within the target subaccount, the system will prevent any override of the existing primary bot.
