Rooms & Equipment are essential for Service calendars, they allow you to account for spaces and tools needed to complete an appointment. To help you better control them and avoid double bookings you can create and manage them inside your CRM and connect them directly to the booking calendars whose service requires the room and equipment. So, let's check how to create them!
To start head to your Calendar Settings inside the Calendars section.
Creating a Room
Start by selecting the rooms tab and clicking “+ Create Room", the rooms represent any location needed for the service such as a massage room, salon chair, or workout area.
Adding the Room Details
- Name: Give a name that helps you easily identify the room. This will be used for your team and customers alike.
- Description: Adding a description helps identify what this room is for, but this is optional.
- Total Capacity: This will limit the appointments that can be booked in a time slot for a room. For example, if the space can hold up to three clients at once here's where you'd add that information.
- Select Calendar: Use this drop-down menu to link your rooms to their service calendar.
When you are done making the changes, hit the “Create” button. You can use the “Cancel” button to go back.
Creating Equipment
Start by selecting the Equipment tab and clicking “+ Create Equipment”, it can be any tool, device, or machine you use to deliver your services.
Adding the Equipment Details
- Name: Give a name that helps you easily identify the room. This will be used for your team and customers alike.
- Description: Adding a description helps identify what this room is for, but this is optional.
- Total Quantity: This is the total units of this equipment you have available, functional or not.
- Out-of-service Quantity: This is the total number of units of this equipment that are currently out of order, whether it be in need of repair, or out of service.
- Select Calendar: Use this drop-down menu to link your equipment to its service calendar.
When you are done making the changes, hit the “Create” button. You can use the “Cancel” button to go back.
Managing Rooms & Equipment
Once you've created your Room or Equipment you can select it when creating/editing a calendar and you will see it listed in their respective tab.
Click the three dots icon under Action Dropdown to change a room or equipment. There you can select between:
- Edit: To make changes to the Room or Equipment.
- Disable Equipment: To change its status, and remove it from calendars.
- Delete: To permanently remove the Room or Equipment from your options.
